This Privacy Policy explains how Sought After Labs, LLC (“Sought After Labs,” “we,” “us,” or “our”) handles information in connection with soughtafterlabs.com, Chips & Checks, and Shared Asset Manager (collectively, the “Services”).
Information we collect
Depending on how you use the Services, we may collect:
- Account and identity information, including your name, mobile phone number, email address, authentication identifiers, account status, and information provided by a league, group, asset administrator, or other authorized user.
- Chips & Checks content, including league, season, tournament, player, attendance, entry, result, standings, points, rules, role, and permitted financial or recordkeeping information entered into the Service.
- Shared Asset Manager content, including asset and member information, ownership records and history, expenses, payments, allocations, balances, invoices, reservations, usage, To-Do items, maintenance, repairs, work logs, Needs List items, and activity/history records.
- Uploaded files, including documents, expense receipts, invoice attachments, and other files that the Services permit authorized users to upload.
- Communications, including support requests and other messages you send us.
- Technical information, such as IP address, browser and device information, timestamps, diagnostic logs, and session or authentication information used to operate and secure the Services.
How we use information
We use information to:
- Provide, maintain, and improve the Services.
- Authenticate users and manage account and group access.
- Deliver requested authentication, verification, and transactional communications.
- Support poker league and tournament administration and recordkeeping.
- Support shared-asset ownership, coordination, scheduling, maintenance, financial recordkeeping, and administration.
- Respond to questions and provide support.
- Protect the security, integrity, and availability of the Services.
- Detect, investigate, and prevent misuse or unauthorized access.
- Comply with legal obligations and enforce our agreements.
Information shared with other authorized users
Chips & Checks and Shared Asset Manager are collaborative applications. Information entered into a league, group, or shared asset may be visible to other authorized users of that same league, group, or asset according to their roles and the access rules of the applicable Service.
For example, league administrators, tournament directors, players, asset members, co-owners, and asset administrators may have access to different information and functions depending on the applicable product and their authorized role.
Do not submit information about another person unless you are authorized to provide it for use within the applicable Service.
SMS and mobile information
Chips & Checks may send transactional SMS messages, including one-time authentication or sign-in codes, when requested by a user. Message frequency varies based on sign-in and authentication activity. Message and data rates may apply.
We do not sell mobile phone numbers, SMS opt-in data, or messaging consent. We do not share this information with third parties or affiliates for their marketing or promotional purposes.
We may provide mobile information to service providers that help us deliver, authenticate, secure, or support requested messages, subject to appropriate use and confidentiality restrictions.
Shared Asset Manager currently uses email-based account authentication rather than the Chips & Checks SMS authentication flow.
How we disclose information
We may disclose information:
- To vendors and service providers that provide hosting, authentication, communications, storage, security, infrastructure, support, and other services on our behalf.
- To authorized members, administrators, directors, owners, or other users of the applicable league, group, or shared asset as necessary to provide the collaborative features of the Services.
- When required by law or when reasonably necessary to protect rights, safety, security, users, or the Services.
- In connection with a merger, financing, acquisition, reorganization, or sale of business assets, subject to applicable law.
The mobile-information and messaging-consent limitations above apply regardless of this section. SMS opt-in information and consent are not sold or shared with third parties or affiliates for their marketing or promotional purposes.
Uploaded files and shared asset records
Shared Asset Manager allows authorized users to store documents, expense receipts, invoice files, and related records for a shared asset.
These files and records are intended for use by the authorized asset group. Shared Asset Manager uses private file storage and application-controlled access for supported uploaded files. Authorized users may be able to open, download, or otherwise access files according to their membership and permissions.
Users are responsible for determining whether they have the right to upload and share a particular document or file.
Cookies, local storage, and similar technologies
The Services may use cookies, local storage, or similar technologies that are necessary for sign-in, security, session continuity, preferences, navigation state, and basic operation.
The public Sought After Labs website does not currently collect payment information.
If we later introduce analytics, advertising technologies, payment systems, or other materially different tracking practices, we may update this Privacy Policy and any related notices as appropriate.
Data retention
We retain information for as long as reasonably necessary to provide the Services, preserve legitimate business and security records, maintain historical and operational integrity, resolve disputes, and meet legal obligations.
Retention periods vary according to the type of information and why it is needed.
Some Services intentionally preserve historical records, including tournament results, ownership history, financial allocations, payments, maintenance history, activity, and other records needed to maintain consistent group or asset history. A request to delete an individual account therefore may not require deletion of every historical record in which that person legitimately participated, subject to applicable law.
Data security
We use reasonable administrative, technical, and organizational safeguards designed to protect information.
The Services use authenticated access and server-side authorization controls for protected application data. Shared Asset Manager also uses private storage for supported uploaded files.
No method of storage, authentication, or transmission is completely secure, and we cannot guarantee absolute security.
Your choices
You may contact us to ask about, correct, or request deletion of personal information, subject to applicable law, legitimate recordkeeping requirements, security needs, and the rights of other users in a shared league, group, or asset.
For Chips & Checks SMS messages, you may reply STOP to opt out and HELP for help. Opting out of authentication messages may prevent delivery of a requested sign-in code.
Children’s privacy
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version here and revise the effective date when changes are made.
